Confirmation email not delivered: what does that mean?

First things first: The withdrawal is valid, and nothing is broken in your shop or in Revoq. An undeliverable confirmation email has no effect on whether the withdrawal is valid.

You may see a withdrawal in your dashboard with the note "Confirmation email undeliverable". Here's what that means, why it happens, and what you can do.

What happened?

Revoq sent the confirmation email to the address the customer entered in the form. The customer's mailbox – or their email provider – didn't accept the message. We flag these cases in the dashboard so you're aware.

Why does this happen?

It's almost never the app, but something on the recipient's side. Common reasons:

  • A typo in the email address
  • The customer's mailbox is full or no longer exists
  • The customer's email provider – especially some free-mail services – temporarily rejects the message

This is a normal part of sending email and happens with every email service.

Can we prevent it?

Not completely – and no email service in the world can. The final step of delivery always sits with the recipient's provider, not with us. Revoq makes sure the confirmation is sent reliably and without delay. Whether the customer's mailbox accepts it is outside our control.

What you can do

In most cases, nothing. The withdrawal has arrived and is properly documented in the dashboard.

Tip: If staying in touch with the customer matters to you, you can reach them another way – for example by phone, or via the email address from their original order.

What about the legal side?

The law requires you to confirm receipt of the withdrawal without undue delay on a durable medium – meaning the confirmation is sent reliably. That's exactly what happens. Guaranteed delivery in every single case is not something the law requires, because no one can technically ensure it.

Note: This is not legal advice. For legal questions in a specific case, please consult your lawyer.

More control over delivery

If you regularly send a high volume of confirmations and prefer to control delivery through your own domain, you can set up your own email sending on the Professional plan (Custom SMTP or Microsoft 365). This gives you more control over the sender and deliverability.

Note: even then, individual bounces can't be fully avoided, and undeliverable emails will arrive as returns in your own mailbox.
